This article will guide you through the Document Source and status fields from the Class Document Management System (DMS) including:
Overview
Source, provides a detailed audit trail to determine the provenance of a document, aka how a document was loaded to Class. Information in the source field can’t be modified by a user and is automatically assigned by the system.
Documents originating from trusted channels are marked with the status of 'verified', making it easy for auditors and administrators to identify and determine which documents were loaded directly into Class from a trusted source and consequently have lower risk for fraud or tampering.
Status field
The Status field will show either verified or unverified to provide a quick way for auditors and administrators to identify which documents can be trusted when the document was loaded. It is automatically applied by the system at the time a document is uploaded and can’t be manually overridden.
- Verified applies to trusted, non-interactive uploads
- Unverified applies to less trusted or manual uploads
The Source field is visible in two locations within the Document Management System (DMS).
Navigate to Fund Level > Fund > Fund documents
- The Status column in the document list.

Click on the Menu icon and then View/Edit.
The icon next to the Source field shows the status. Hovering over the icon will display the status description.A

Source field
The Source field is also visible in two locations within the Document Management System (DMS).

Structure of source field
The following structure is used to identify the source of a document: <source name>.<source-system>.<agreement-type>.<class-system>.<class-sub-system>.<connection-type>
Format and some examples are listed below:

The application or provider’s system that is being used to connect to DMS e.g. Actuarial or Property Title |
| Agreement type |
This is the legal agreement under which Class are receiving the documents e.g. DFA (Data Feed Agreement) or CDR (Consumer Data Rights) |
| Class system |
This is the primary system through which Class are receiving the documents e.g. Class Feeds, Virtual Mail Room |
| Class sub-system |
This is the secondary system through which Class are ingesting the documents e.g. Registry or DCD (Direct Connect Document) |
| Connection type |
This outlines the document provider loaded the documents e.g. API or SFTP (Secure File Transfer Protocol) |
Some of the above categories may not appear in the Source for certain documents when not applicable.
Some documents may have Source visible but still appear as unverified for example a signed document either electronic or wet signed as we are unable to guarantee the authenticity of the person who signed the document
