Xero Practice Manager (XPM), is a practice management system from Xero which integrates with Class. The integration saves time through removing duplication of data entry for client details and ensures your data is consistent across your business.
In this article we will show you;
- Integration Setup in XPM
- Disabling the Integration
- Maintaining data integration
- Data mapping Class to XPM
Class/XPM integration will allow you to:
- Link existing XPM clients instantly to existing Class Funds
- Create new XPM client records instantly for any new Class entities
- Automatically synchronise Class details with XPM Client records. As you update the Fund details in Class, details are sent to XPM (the information maintained includes addresses, ABN/TFNs, name etc). Changes in XPM are not sent to Class, so ensure you update Class if you want to change details in XPM.
- Create a widget in the Class Fund Dashboard that supports:
- visibility of open jobs, current tasks and their status
- accessing XPM directly from the fund dashboard
Refer to www.xero.com/au/practicemanager for more details on XPM.
Integration Setup in Class
Contact your systems administrator with the relevant permissions to authorise the integration. In Class, only users with the role of Access Controller and/or Administrator will be able to authorise.
In Xero, you are required to have API privileges. You can check your permissions in Xero under:
Business > Settings > Staff > "Your name"
If you are the administrator with all relevant permissions, please follow these steps:
Navigate to Business Level Settings > Integrations Settings
- Class will display 'Xero Integration not Authorised'
- Click on Authorise to start the authorisation process.
- The Xero authentication screen will open in a new tab:
- Login with your Xero credentials and click Login.
- If you are not already logged in, enter your Xero authentication code and click Login.
- If you have access to several Xero XPM accounts a drop-down will prompt you to select the Xero account you wish to connect with this particular Class business and click 'allow access'
- The Class screen will now display "Xero Integration Authorised". The synchronisation will complete automatically in the background.
Please note that a business in Class can only be connected to one single Xero XPM Account. Re-authorising the connection for a second account will revoke the access for the first Xero XPM account.
If you do not see the "Launch Xero Practice Manager" link in the Dashboard widget, this indicates that the sync was not successful. Please check that the fund has either a valid TFN or no TFN and re-sync the integration.
The synchronisation may take time depending on the number of funds you have on Class. There are no progress indicators, and you can close Class and the Sync will complete in the background.
Disabling the Integration
Navigate to Business Level > Settings > Fund defaults > Integration Settings
Click Unlink.
Maintaining data integration
To update data in XPM with Class records, please re-sync the integration under:
Business Level > Settings > Fund defaults > Integration Settings
Once authorised your integration will remain authorised for a maximum of 60 days if no further data sync is triggered.
Navigate to Business Level > Settings > Fund defaults > Integration Settings
If the token has expired an error message will display "Sync failed. Token expired. Re-authorisation required."
Click on re-authorise and follow the steps above to re-authorise the connection.
Note that if a new fund is created in Class this will automatically create a new record for this client in XPM. To avoid duplication, do not manually create the client record in XPM prior to creating the fund in Class.
